A service record had to look backward and forward.

The records brought together standard contact information, services delivered to community members, and eligibility dates for further services. The work therefore involved more than maintaining a list of names: each person's history had to remain connected to information about future support.

The modernization ran from February through June 2021. It included overhauling paper files, updating Access data, and converting the records to Excel.

The tracking purpose shaped the overhaul.

The service history described what had already been delivered. Eligibility dates described when a community member could receive further services. Keeping contact details, service history, and eligibility dates connected was the practical purpose of the records.

The project moved that recordkeeping work across paper, Access, and Excel while retaining the focus on the community member and their service history.

Three connected parts of the work.

I overhauled the paper records, updated the information held in Access, and converted the records to Excel. This was a modernization of an existing service-documentation process, using familiar tools to support continued tracking.
